Turn an enquiry into a student and enrol them in a group

Create the student account from a lead's card, hand over the sign-in link, enrol the student in a group and mark the lead as enrolled.

When a person on the board decides to join, you create their student account straight from the card, enrol them in a group and close the enquiry.

Before you start

  • Sign in as “Reception”.
  • Have the student's email address. A student account needs one.

Steps

  1. Open “Leads” and find the person's card on the board.
  2. Press “Create student account” on the card.
  3. Type the “Email”. The name and phone come from the card. If a parent needs access, pick one in “Link to an existing parent”, or tick “Also create a parent account” and fill in the parent's details.
  4. Press “Create student account”. The account is created and the card moves to “Registered”.
  5. Hand over the sign-in link. Each account has a one-time link: press “Copy link” or “Send on WhatsApp”.
  6. Press “Enrol in a group”. On the student's page, choose the group in “Add to group” and press “Add”. Set a fee of their own there if needed.
  7. Go back to “Leads”. Press “Edit” on the card, choose “Enrolled” and press “Save”.

Result

The person is a student with an account and a place in the group. The card is in the “Enrolled” column.

If something looks different

  • A card with no “Create student account” button already has an account, or it is archived.
  • “Enrolled” is refused until the student is in a group. Do step 6 first.
  • If the form says the email is already in use, the person may already have an account. Find them with the search at the top of the screen.
  • After “Group opened — notify everyone” for a course, a card with an account shows its own enrol button that does steps 6 and 7 in one press.
