A saved entry can be corrected. You either edit a detail, or void the entry. A voided entry is never deleted: it stays in the list and in the history. This works the same for income and for expenses.
Before you start
- Sign in as “Accountant”.
- Edit when the entry is real but a detail is wrong. Void when it should not exist, for example it was entered twice.
Steps
- Open “Finance”. To see only expenses, choose “Expenses” in the type list above the transactions. You can also search by payer or choose a category.
- To change a detail, press “Edit” on the row. Change the category, amount, date, method, payer or note.
- Write the “Reason”. It is required and is kept in the history. Press “Save”.
- To cancel an entry, press “Void” on its row. Write the reason and confirm.
- The row stays in the list, marked “Voided”, with its amount crossed out. It no longer counts in the totals. If it was a tuition payment, the months it paid for are taken back from the subscription.
- If you voided by mistake, press “Restore” on that row, write a reason and confirm. The entry comes back.
Result
The list and the totals show the corrected books. Every change is kept with its reason and who made it.
If something looks different
- An entry recorded more than 48 hours ago can be changed, voided or restored only by the founder.
- The edit form cannot turn income into an expense or move a payment to another student. Void the entry and record it again.
- Changing the amount of a tuition payment recounts the months it covers. The dialog says so.
