The subscriptions page lists every student's subscription: until when it is paid, who is late and how much is owed. Use it to see where the money stands and whom to remind.
Before you start
- Sign in as “Accountant”.
- A group needs a monthly fee. A subscription with no fee is marked “No fee set” and is never counted as late.
Steps
- Open “Finance” and press “Subscriptions”. The four cards on top show “Expected revenue”, “Collected”, “Outstanding” and “Collection rate”.
- Read “Outstanding”: the total owed and how many subscriptions are late.
- Read the rows. Late ones come first, the longest overdue on top. A row shows the student, the parent and phone, the group, the fee, “Next payment” and “Balance”. A late row shows what the family owes. The label says “Overdue”, “Due soon” (within a week), “First payment” or “On track”.
- Scroll to the bottom. “Left the group, or group archived” lists debts of people who left, counted up to the day they left. “Write off” gives up part or all of a debt. It asks for the amount and a reason, and the entry stays on the line.
- To find one family, type a student, a parent, a phone number or a group in the search and press Enter.
- On a row, press “Record payment” to take a payment. Press “Export to Excel” to download the list.
Result
You know who is paid, who is late and how much is owed, and you can act from the same row.
If something looks different
- The debt counts every started month of lateness as one month's fee, less any money already waiting in the balance.
- To remind a family, press the message icon in its row: Remind a late family.
