Take the center's money reports out as Excel files and use them in your own calculations. The accountant and the founder can do this.
Before you start
- Sign in as “Accountant”.
- Have Excel, or another program that opens .xlsx files, on your computer.
Steps
- Open “Dashboard” and press “Export to Excel”. The list shows the reports on offer.
- Choose “Finance report, this month”. The file downloads. It holds this month's transactions with the income, the expenses and the net result.
- Open the list again and choose “Subscriptions and debts”. This file lists every subscription with its fee, paid-until date and status. The page “Subscriptions” has the same report behind its own “Export to Excel” link.
- For another period, open “Finance” and choose the period, for example “Last month”. You can also give your own dates in “From” and “To” and press “Apply”.
- Press “Export to Excel” on that page. The file holds only the period you chose.
- Open the files from your downloads folder in Excel.
Result
You have the reports as Excel files. The finance report has a sheet “Transactions”, the subscriptions report has a sheet “Subscriptions”. Each sheet starts with a title and the date it was made, then a header row you can filter. Amounts are numbers, so you can add them up.
If something looks different
- If the button is missing, you are not signed in as “Accountant” or “Founder”. Reception cannot take money reports out.
- The finance report also lists voided entries, marked “Voided”. They are left out of the totals.
- If your access is limited to some branches, the finance report holds the income of those branches only, without expense and net lines.
